Count overlapping groups, not just invitations
For a San Marcos event, explain when guests, staff and suppliers will all be present. A short peak can matter more than the daily total. Mention food service, event duration and any existing facilities so equipment and servicing can be discussed in context.
Make facilities easy to find after dark
Think through signs, the walking route and site lighting if people will remain after sunset. A portable toilet is not a substitute for lighting along an uneven path. For accessible equipment, review the approach and clear space as well as the unit itself.
Coordinate the suppliers before doors open
Restrooms, catering, staging and waste collection need compatible access plans. Confirm the venue-approved position and delivery window before other installations occupy the space. Share one reliable on-site contact rather than leaving several suppliers to interpret conflicting instructions.
